Background

Sexual Wellbeing Aotearoa (previously known as Family Planning) is New Zealand’s largest provider of sexual and reproductive health services, and a specialist provider of clinical training for nurses, midwives, and doctors. Their health promotion teams provide training and resources for teachers and support staff, guidance counsellors, school nurses, carers, and social workers. Sexual Wellbeing Aotearoa aims to ensure people are well, and well-informed when it comes to issues of the heart, the mind, and the body.

Sexual Wellbeing Aotearoa previously used a training management system to manage their professional development learners. However, they were after a new online learning solution to meet the changing needs of their current and future learners.

With the new solution, they wanted to:

  • ensure their programs fit with their strategic framework of utilising technology to provide equity, access, and choice to learners
  • redefine some of their internal processes, such as invoicing and payment issues
  • introduce a payment portal that could handle various payment methods as a gateway to LMS content.

Solution

Sexual Wellbeing Aotearoa partnered with Catalyst to enhance their enrollment, payment, and learning systems using the learning management system (LMS), Tōtara Learn. Key improvements include:

  • A streamlined application process: Learners can now complete the enrollment form and choose a payment method—Funded, Invoice Request, or PayPal.
  • Enhanced reporting capabilities: Payment information is automatically sent to dashboards and shared with finance and administration teams.
  • Improved learning progress tracking: Learners can easily view upcoming, in-progress, and completed training on their dashboards, keeping them organised and on track.

By tailoring and streamlining workflows and processes, Sexual Wellbeing Aotearoa achieved:

  • Improved content accessibility: Online resources enable learners in rural areas or under time pressure to access content easily.
  • An enhanced user experience: The branding of Tōtara Learn matches with the Sexual Wellbeing Aotearoa’s website, ensuring a seamless transition.
  • Simplified data reporting: New reports, such as the ‘Workshop Attendees’ report, now include payment methods, helping in tracking funded places for high-needs clients. Additionally, waitlisted applicants are automatically added to an ‘Interested Users’ report to help with future planning.
